HubSpot and Zoho CRM are the two names small business owners ask us about most when they want to stop losing leads in WhatsApp chats, inboxes and spreadsheets. Both are solid, both have free plans, and both can run a small sales team well. They differ a lot on price, ease of use, marketing tools, data hosting and how they bill.
This guide compares them for a small business in 2026, wherever you are. Prices are published list prices in US dollars, with euro prices where HubSpot now sells in euros. HubSpot changed how it sells to new customers in Europe, the Middle East and Africa in October 2026, which we explain below. Always confirm the price shown for your own account before you buy, and add sales tax or VAT where it applies.
The short answer
- Choose Zoho CRM if price per user matters, your team wants the app in a language HubSpot does not offer, or you want to choose from many hosting regions.
- Choose HubSpot if you want the easiest CRM to learn, strong marketing tools in the same place, and native WhatsApp in a shared inbox, and the budget for Professional plans is not a problem.

Pricing in detail
Zoho CRM
Zoho prices per user, and every user on the account is on the same plan. Published US dollar prices in 2026:
- Free: up to 3 users, basic leads, contacts and deals.
- Standard: $14 per user per month on annual billing, around $20 monthly.
- Professional: $23 annual, around $35 monthly. This is where many teams add WhatsApp and more automation.
- Enterprise: $40 annual, around $50 monthly. This is where Zia AI starts.
- Ultimate: $52 annual, around $65 monthly.
Zoho shows local prices in many regions, including euros, pounds and other currencies, so the figure at your checkout may differ from the dollar list.
HubSpot: two pricing models in 2026
HubSpot now sells in two different ways depending on where you sign up and when.
The per-hub model is what new US customers and all existing customers still use. You buy hubs (Sales, Marketing, Service and so on) at a chosen tier. Sales Hub Starter is $20 per seat list price, often discounted. Sales Hub Professional is $90 per seat per month on annual billing or $100 monthly, with a required one-time onboarding fee of $1,500. Marketing Hub Professional starts at about $800 a month on annual billing with 3 seats included, plus a $3,000 onboarding fee.
The seats-and-credits model went live for new customers in Europe, the Middle East and Africa on 1 October 2026, according to HubSpot partner reports. Instead of buying separate hubs, you pick one edition (Starter, Professional or Enterprise) for the whole account and pay per seat in euros. Partners report Starter at EUR 20 per seat list (often discounted), Professional at EUR 90 per seat on annual billing or EUR 100 monthly, and Enterprise at EUR 175. Features like marketing emails, workflow actions and AI agents then use HubSpot Credits from a monthly allowance: 5,000 on Starter, 10,000 on Professional and 15,000 on Enterprise. Unused credits do not roll over.
HubSpot has not published the full list of countries in this model, and third-party sources disagree on some, such as the UK. Professional and Enterprise still require an onboarding fee, but its EMEA price was not published at the time of writing, so ask for it in writing.
The practical takeaway: HubSpot Starter is affordable, but most of the automation people want (sequences, advanced workflows, WhatsApp in the inbox) sits in Professional, which is a big step up in cost. With Zoho, those features arrive at much lower prices.
Ease of use
HubSpot is widely seen as the easiest CRM to start with. The interface is clean, the free tools are generous, and HubSpot Academy has free training. A small team can usually start logging deals on day one.
Zoho CRM is more customisable and does more for the money, but there are more menus and settings. It rewards a proper setup: clear pipeline stages, required fields and a few automations. Without that, teams can find it cluttered. Zoho also sells a simpler CRM called Bigin for very small teams who only need a pipeline.
Language support
If your team works in more than one language, check this early. HubSpot's app is available in 17 languages, including English, French, German, Spanish, Portuguese and Japanese, and you can write emails, pages and chatflows in almost any language. Zoho CRM supports a longer list of interface languages, including right-to-left Arabic, which matters for teams in the Middle East and North Africa.
WhatsApp integration
In many markets, from Brazil to Spain to India, WhatsApp is a main sales channel, so check this carefully.
- HubSpot connects a WhatsApp Business account directly to its shared inbox. This needs Marketing Hub or Service Hub Professional or Enterprise. HubSpot's help page notes a shared limit of 1,000 template messages per month across connected accounts, and sending more than 50 business-initiated conversations a day needs a verified Meta Business Manager.
- Zoho CRM offers a native WhatsApp Business integration through its Business Messaging feature, and the Zoho Marketplace has many third-party WhatsApp apps.
Either way, you need an approved WhatsApp Business Platform account, and Meta charges per message. Our WhatsApp Business API guide explains the setup.
Data hosting and GDPR
HubSpot hosts customer data in the United States, the European Union, Canada and Australia. New paid customers are assigned a location based on where they sign up, and existing paid customers can move to the EU data centre at no charge. Free-only accounts are hosted in the US.
Zoho runs data centres in the US, the EU, India, Australia, Japan, Canada and Saudi Arabia, and keeps adding regions. Your region is set when you create the account, so choose it at signup.
If you sell to people in the EU or UK, GDPR applies to the contacts in your CRM. Both vendors offer a data processing agreement and EU hosting, so either can be used in a compliant way. Compliance still depends on how you use it: consent for marketing emails, only the data you need, and a way to export or delete a contact's data on request. In regulated sectors, ask your legal adviser.
Marketing features
HubSpot started as a marketing platform and it shows. Email marketing, landing pages, forms, ad tracking, social posting and reporting all live in one system, and they work well together. If you plan to run regular email campaigns and track leads from ads to closed deals, HubSpot is very strong, especially on Professional. In the new EMEA model, keep an eye on credits, since marketing emails draw on your monthly allowance.
Zoho CRM includes basic email and campaign features, but most serious marketing work is done in separate Zoho apps such as Zoho Campaigns, Zoho Marketing Automation or the Zoho One bundle. They integrate well, but it is more than one product to learn.
Which to choose by team size
| Team | Our usual suggestion |
|---|---|
| 1 to 2 people, just starting | HubSpot free tools or Zoho CRM Free. Both cost nothing; HubSpot is quicker to learn. |
| 3 to 10 salespeople, WhatsApp heavy, budget conscious | Zoho CRM Standard or Professional, with a WhatsApp integration. |
| 3 to 10 people, marketing led (email, ads, content) | HubSpot Starter, moving to Professional when you need automation and WhatsApp in the inbox. |
| 10 to 50 users, complex processes | Zoho CRM Enterprise or Zoho One for value; HubSpot Professional if marketing and ease of use come first. |
| Strict data residency needs | Whichever vendor hosts in your required region. Zoho covers more regions. |
Checklist before you decide
- Count your users today and in 12 months, then price both at that size, including tax.
- List the features you actually need (WhatsApp, sequences, workflows) and check which plan includes them.
- For HubSpot, confirm which pricing model your account gets, the credit allowance and the onboarding fee.
- For Zoho, confirm the hosting region and the price in your currency at checkout.
- Sign the data processing agreement if you hold EU or UK contacts.
- Test both free plans with a week of real leads before you pay.
If you are in the UAE
- AED prices. At 3.6725 AED to the dollar: Zoho Standard is about AED 51 annual, Zoho Professional about AED 84 to 129, HubSpot Sales Hub Professional about AED 331 to 367 per seat, and the US onboarding fee of $1,500 is about AED 5,509. VAT at 5% is added for UAE businesses.
- Which HubSpot model. The Middle East is part of HubSpot's new EMEA model, but HubSpot has not published the country list, so check which version you are offered when signing up from the UAE.
- Local hosting. Zoho's Dubai and Abu Dhabi data centres keep customer data in the country; ask for the UAE region at signup. HubSpot does not host in the UAE.
- Arabic. Zoho CRM offers an Arabic interface. HubSpot does not, although Arabic works for content and call transcription.
- Data law. The UAE Personal Data Protection Law covers mainland businesses, while DIFC and ADGM have their own rules. If you work with government entities or in a regulated sector, local hosting can make compliance simpler.

Frequently asked questions
Is Zoho CRM cheaper than HubSpot?
In most cases, yes. Zoho CRM Standard is $14 per user per month on annual billing and Professional is $23, while HubSpot's automation features mostly sit in Professional plans at around $90 to $100 per seat (EUR 90 to 100 for new EMEA customers), plus a one-time onboarding fee.
Are HubSpot and Zoho GDPR compliant?
Both offer a data processing agreement and EU data hosting, so both can be used in a GDPR compliant way. You still need consent for marketing emails, a lawful basis for the data you keep, and a process to export or delete a contact's data on request.
What changed in HubSpot pricing in October 2026?
From 1 October 2026, new HubSpot customers in Europe, the Middle East and Africa buy a single edition priced per seat in euros, with emails, workflow actions and AI agents drawing on a monthly allowance of HubSpot Credits. Existing customers and new US customers keep the per-hub pricing for now.
Which languages do HubSpot and Zoho support?
HubSpot's app is available in several major languages, including English, French, German and Spanish, but not Arabic. Zoho CRM supports a longer list of interface languages, including Arabic with right-to-left layout. Both let you write customer-facing content in almost any language.
Which CRM works best with WhatsApp?
Both work. HubSpot connects WhatsApp natively to its inbox on Marketing Hub or Service Hub Professional and above. Zoho CRM has a native Business Messaging integration and many marketplace apps. Both need a WhatsApp Business Platform account, and Meta charges per message.
Can I start with a free plan?
Yes. HubSpot's free tools cover up to 2 users and Zoho CRM Free covers up to 3 users. Both are good for testing with real leads before you commit to a paid plan.
