Most small businesses do not lose leads because their product is weak. They lose them in WhatsApp chats nobody follows up, in a spreadsheet only one person updates, or in an email inbox that nobody checks on a busy week. A CRM fixes that, but only if you pick one that fits how you actually sell.
This guide compares six CRMs that small business owners ask us about most: HubSpot, Zoho CRM, Pipedrive, Bitrix24, Salesforce and Odoo. Prices are the published US dollar list prices we could verify in 2026. Several vendors show different prices, and sometimes different plans, by country and currency, so always confirm on the vendor's own pricing page before you buy. Sales tax or VAT is added on top in most countries.
Quick comparison table
| CRM | Free plan | Entry paid plan (per user, per month) | Mid plan (per user, per month) | Best known for | |
|---|---|---|---|---|---|
| HubSpot | Yes, free tools for up to 2 users | Starter: $20 list price, with promotional rates on annual billing | Sales Hub Professional: $90 annual or $100 monthly, plus a $1,500 onboarding fee (US pricing) | Native in the inbox with Marketing Hub or Service Hub Professional or Enterprise | Ease of use and marketing tools in one place |
| Zoho CRM | Yes, up to 3 users | Standard: $14 billed yearly, about $20 monthly | Professional: $23 yearly, about $35 monthly | Native Business Messaging plus Zoho Marketplace apps | Low price per user, many interface languages |
| Pipedrive | No, 14 day free trial | Lite: $14 yearly, $19 monthly | Growth: $24 yearly, $34 monthly | Built in on Growth and above (still listed as beta) | A simple visual sales pipeline |
| Bitrix24 | Yes, small team | Flat price per company, not per user. Basic: about $49 a month on yearly billing for 5 users | Standard: about $99 a month on yearly billing for 50 users | Through connectors in the Bitrix24 Market | CRM, tasks, chat and phone in one flat price |
| Salesforce | No, 14 day free trial | Starter Suite: $25, up to 10 users | Pro Suite: $100, annual contract | Through add-ons and partner apps, usually extra cost | Power and customisation for complex sales |
| Odoo | Yes, one app free with unlimited users | Standard: about $24.90 intro rate on yearly billing | Custom: about $49 intro rate | WhatsApp app that connects to a Meta WhatsApp Business account | CRM plus invoicing, stock and accounting |
Two notes on the numbers. Odoo and Zoho show prices by location, so your checkout page may differ from the US figures above. HubSpot also changed how it sells to new customers in Europe, the Middle East and Africa from October 2026: one edition for the whole account, priced per seat in euros, with a monthly allowance of HubSpot Credits. Our HubSpot vs Zoho guide explains both models.
The six CRMs in plain words
HubSpot
HubSpot is the easiest CRM to start with if you also want forms, email marketing and a simple website tool in one place. The free plan is useful for very small teams. The cost jumps when you need automation, because most workflows sit in the Professional tier, which also carries a one-time onboarding fee.
For WhatsApp, HubSpot connects a WhatsApp Business account to its shared inbox, but this needs Marketing Hub or Service Hub on Professional or Enterprise. You also need a verified Meta Business Manager for more than 50 business-initiated conversations a day. HubSpot hosts customer data in the United States, the European Union, Canada and Australia, which helps if your clients are in Europe.
Zoho CRM
Zoho is the value pick for most small businesses. Plans start low, the free edition covers up to 3 users, and the interface is available in many languages. Zoho runs data centres in several regions, including the US, the EU, India, Australia, Japan, Canada and Saudi Arabia, so you can usually keep data close to your customers.
The trade-off is setup. Zoho is very flexible, which means it is easy to build something messy. For WhatsApp, check whether the native integration is enough or whether you need a paid Marketplace app.
Pipedrive
Pipedrive is built around one thing: a visual sales pipeline you drag deals through. Sales teams like it because it is fast and simple. There is no free plan. WhatsApp is built in from the Growth plan, using Meta's WhatsApp Business Platform, with conversations showing on the deal and contact records. It is still labelled beta, and it only syncs messages from the date you connect.
Bitrix24
Bitrix24 charges a flat monthly fee for a set number of users, which can be very cheap for a team of 10 to 50 people. It includes CRM, tasks, chat and a contact centre in one tool. The downside is that it can feel crowded, and staff need training to use it well.
Salesforce
Salesforce is the most powerful option here and the most expensive to run well. Starter Suite is affordable for up to 10 users, but real value comes with Pro Suite or higher, plus an implementation partner. It makes sense for growing companies with complex processes, not for a five-person salon.
Odoo
Odoo is an all-in-one business system: CRM, invoicing, inventory, accounting and more. If you are a trading company that also needs stock and invoices, Odoo can replace several tools. One app is free with unlimited users, and paid plans unlock the full suite. Intro prices rise at renewal, so budget for the second year too.
Which CRM for which business
- Real estate agencies: Portal leads are usually the main source. Look first at CRMs built for your local market, since they often have direct portal integrations and listing syndication. If you prefer a general CRM, Bitrix24, Zoho or HubSpot with a portal connector also works. The key test is simple: does a portal lead land in the CRM, assigned to an agent, within a minute?
- Clinics and medical centres: Appointment reminders and follow-up messages matter most. Zoho or HubSpot work for marketing and enquiries. Be careful with patient health data: it is a special category under GDPR in the EU and UK, and covered by HIPAA in the US, so keep clinical records in your medical system, not in a sales CRM.
- Salons and beauty businesses: A booking tool first, with a free HubSpot or Zoho plan for repeat clients.
- Consultants and service firms: Pipedrive or HubSpot Starter. Clean pipeline, email tracking, meeting links, done.
- Trading and distribution companies: Odoo if you need stock and invoicing in the same system. Zoho if you want CRM now and may add Zoho Books or Inventory later.
- Teams of 15 or more with complex approvals: Salesforce or Zoho Enterprise, with a proper implementation plan.
WhatsApp, languages and data protection: the checklist
Messaging channels. In much of Europe, Latin America, Africa, the Middle East and South Asia, WhatsApp is a main sales channel. For a CRM to log conversations properly, you need the WhatsApp Business Platform (the API), not the free WhatsApp Business app on one phone. Meta charges per message by category and country, and you can only send free-text replies within 24 hours of the customer's last message. After that, you need an approved template. Factor Meta's message fees into your budget. Our WhatsApp Business API guide covers the setup.
Languages. Decide whether your team needs the app in their own language, or only customer-facing messages and forms.
Data protection. If you sell to people in the EU or UK, GDPR applies to the personal data in your CRM, wherever your company is based. In practice:
- Sign the vendor's data processing agreement (HubSpot, Zoho, Pipedrive and Salesforce all offer one).
- Know where data is hosted. EU hosting is available from HubSpot and Zoho, among others. If data leaves the EU, the vendor should rely on an approved transfer mechanism.
- Record a lawful basis for each use, collect consent for marketing emails, and store only what you need.
- Be ready to export or delete a person's data when they ask.
In the US, state privacy laws such as California's CCPA follow similar ideas. Other countries have their own laws. If you handle sensitive data, ask a lawyer in your market.
What a good CRM setup includes
The software is maybe 30 percent of the result. The setup is the rest. A good setup, like the one our CRM setup service delivers, covers these points.
- Pipeline stages that match reality. For example: New lead, Contacted, Qualified, Meeting booked, Offer sent, Won, Lost. Five to seven stages is usually enough.
- Every lead source connected. Website forms, WhatsApp, Meta lead ads from Facebook and Instagram, Google Ads, portals and phone calls should all create a record automatically, tagged with the source.
- Automatic assignment. Round robin or by area, language or product, so no lead sits unowned.
- Automations. An instant WhatsApp or email reply, a task for the salesperson, a reminder if nothing happens in 24 hours. See our automation service for examples, and our Zapier vs Make vs n8n guide for the tools that connect everything.
- Follow-up reminders. Each deal should always have a next step with a date.
- Simple reporting. Leads by source, response time, conversion rate by stage and revenue by salesperson. One dashboard, reviewed weekly.
- Training. A one-hour session and a one-page guide for the team. Without this, adoption drops in the first month.
Some businesses also add our AI chatbot service to qualify leads before a human takes over.
Common mistakes we see
- Buying the biggest plan first. Start with the plan you need today. Upgrading is easy; downgrading after an annual contract is not.
- Too many stages and fields. If a salesperson needs 15 clicks to log a call, they will stop logging calls.
- WhatsApp on personal phones. When a salesperson leaves, the conversations leave too. Use a shared business number connected to the CRM.
- Ignoring extra costs. Messaging fees, add-on apps, onboarding fees and tax add up on top of the CRM licence.
- No owner. Someone in the business must own the CRM, check data quality and run the weekly review.
If you are in the UAE
- Prices in AED. At 3.6725 AED to the dollar: HubSpot Sales Hub Professional is about AED 330 to 367 per seat, Zoho CRM Standard about AED 51 to 73, Pipedrive Lite about AED 51 to 70, Bitrix24 Basic about AED 180 a month, Salesforce Starter about AED 92 and Odoo Standard about AED 91. VAT at 5% is added. The UAE falls under HubSpot's new EMEA pricing for new customers.
- Local hosting. Zoho opened data centres in Dubai and Abu Dhabi in early 2026. Salesforce offers Hyperforce in the UAE and has an office in Dubai Internet City. HubSpot does not host data in the UAE.
- Arabic. Zoho CRM offers an Arabic interface. HubSpot does not, although you can write emails, forms and pages in Arabic.
- Data law. The federal Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) covers mainland businesses, while DIFC and ADGM have their own rules. Its executive regulations were still unpublished in early 2026, so cross-border transfer details remain unclear. Health data follows its own sector rules.
- Real estate. Many Dubai agencies use PropSpace, which integrates with Property Finder, or Bitrix24 apps such as PropBridge that pull Property Finder, Bayut and Dubizzle leads into the CRM.

Frequently asked questions
What is the best CRM for a small business?
For most small teams, Zoho CRM offers the best balance of price and features, with a free plan for up to 3 users. HubSpot is easier for beginners who also want marketing tools. Pipedrive suits sales teams that want a simple visual pipeline, and Odoo fits companies that also need invoicing and stock.
Which CRM has WhatsApp integration?
HubSpot connects WhatsApp to its inbox on Marketing Hub or Service Hub Professional and above. Pipedrive has built-in WhatsApp from the Growth plan. Zoho has a native Business Messaging integration, and Bitrix24, Salesforce and Odoo connect through apps or add-ons. All rely on the WhatsApp Business Platform, and Meta charges per message.
HubSpot vs Zoho: which is cheaper?
Zoho is usually cheaper. Zoho CRM Standard starts at $14 per user per month on yearly billing, while HubSpot's automation features mostly sit in Professional plans at around $90 to $100 per seat (or about EUR 90 to 100 for new EMEA customers), plus a one-time onboarding fee. Both have free plans for very small teams.
Is my CRM GDPR compliant?
The software alone does not make you compliant. Choose a vendor that signs a data processing agreement and offers suitable hosting, such as EU data centres, then collect consent for marketing, keep only the data you need and be ready to export or delete a contact's data on request.
Can I start with a free CRM?
Yes. HubSpot's free tools cover up to 2 users, Zoho CRM Free covers up to 3 users, and Odoo gives one app free with unlimited users. Test with a few weeks of real leads before you commit to a paid plan.
How much does CRM setup cost?
It depends on the number of lead sources, automations and users. A simple pipeline with forms and WhatsApp connected is a small project, while a multi-team Salesforce rollout is much larger. dhowly's Automate package starts from about USD 670 (AED 2,450).
